Health Information Security

Resident Data Protected at Every Layer

NutriCare Pro AI was built for long-term care — an environment where the privacy and security of resident health information is not a feature, it is a foundational obligation. Every technical, administrative, and physical safeguard in our platform reflects that commitment.

Security Is Not an Add-On. It Is the Architecture.

Most software platforms treat security as a compliance checkbox — something bolted on after the product is built. NutriCare Pro AI was designed differently. From the first line of code, security and privacy were core architectural requirements, not afterthoughts. We operate in an environment where a single data breach can harm residents, expose facilities to regulatory action, and destroy the trust that long-term care relationships are built on. That reality shapes every decision we make.

Technical & Compliance Safeguards

Six layers of protection — each addressing a distinct dimension of health information security in long-term care technology.

HIPAA Compliance

Full HIPAA compliance built into every workflow, not layered on top.

NutriCare Pro AI is designed and operated as a HIPAA-compliant platform. Every feature that touches Protected Health Information (PHI) — resident dietary records, nutrition assessments, care plans, intake data — is governed by HIPAA Privacy and Security Rule requirements. We execute Business Associate Agreements (BAAs) with all covered entity clients and maintain the administrative, physical, and technical safeguards required by law.

  • Business Associate Agreements (BAAs) executed with all covered entity clients
  • PHI access governed by minimum necessary use and disclosure standards
  • HIPAA Privacy Rule and Security Rule compliance across all platform modules
  • Breach notification procedures aligned to HIPAA Breach Notification Rule
  • Regular HIPAA compliance reviews and internal risk assessments

Data Encryption

Resident data is encrypted in transit and at rest — always.

All data transmitted between NutriCare Pro AI and client facilities is encrypted using TLS 1.2 or higher. Resident health information stored within the platform is encrypted at rest using AES-256 encryption. Encryption keys are managed through a dedicated key management system with strict access controls and rotation policies. No resident data is ever transmitted or stored in plaintext.

  • TLS 1.2+ encryption for all data in transit between clients and the platform
  • AES-256 encryption for all resident health data stored at rest
  • Dedicated key management system with access controls and rotation policies
  • End-to-end encryption for all API integrations with EHR and third-party systems
  • No plaintext storage or transmission of Protected Health Information

Role-Based Access Controls

The right people see the right data — and nothing more.

NutriCare Pro AI enforces granular, role-based access controls (RBAC) across every module and data type. Access to resident health information is restricted based on job function, facility assignment, and data sensitivity level. Administrators can configure access permissions at the individual user level, and all access decisions are logged in the platform's tamper-evident audit trail.

  • Granular role-based access controls aligned to job function and data sensitivity
  • Facility-level and unit-level access restrictions for multi-site deployments
  • Individual user permission configuration by facility administrators
  • Automatic access revocation upon staff role change or termination
  • All access decisions logged in the tamper-evident audit trail

Audit Logging & Monitoring

Every action on resident data is recorded, timestamped, and tamper-evident.

NutriCare Pro AI maintains a comprehensive, tamper-evident audit log of every action taken on resident health information — who accessed it, what they did, and when. Audit logs are immutable, retained according to HIPAA requirements, and available for export at any time. Automated monitoring systems continuously scan for unusual access patterns and alert the security team to potential threats in real time.

  • Tamper-evident audit logs for every access and modification to resident data
  • User, timestamp, action, and data element captured for every log entry
  • Immutable log retention aligned to HIPAA and state regulatory requirements
  • Automated anomaly detection scanning for unusual access patterns
  • Real-time security alerts to the platform security team for potential threats

Infrastructure & Data Residency

Secure, redundant infrastructure with data residency in the United States.

NutriCare Pro AI is hosted on enterprise-grade cloud infrastructure with multiple layers of physical and logical security controls. All resident health data is stored and processed within the United States. Our infrastructure includes redundant data centers, automated failover, and continuous availability monitoring to ensure platform reliability for the facilities that depend on it.

  • All resident health data stored and processed within the United States
  • Enterprise-grade cloud infrastructure with physical and logical security controls
  • Redundant data centers with automated failover and disaster recovery
  • Continuous availability monitoring and incident response procedures
  • Regular third-party penetration testing and vulnerability assessments

Security Standards & Certifications

Aligned to industry-recognized security frameworks for healthcare technology.

NutriCare Pro AI aligns its security program to recognized healthcare technology security frameworks including NIST Cybersecurity Framework and HITRUST CSF principles. Our security posture is validated through regular third-party assessments, penetration testing, and vulnerability management programs. We are committed to continuous improvement of our security controls as the threat landscape evolves.

Staff Training & Internal Security Policies

Technology alone does not protect resident data. The people who build, operate, and support NutriCare Pro AI are trained, accountable, and bound by formal security policies.

Mandatory Security Awareness Training

All NutriCare Pro AI staff complete mandatory security awareness training upon hire and annually thereafter. Training covers HIPAA requirements, phishing and social engineering threats, secure data handling practices, and incident reporting procedures.

HIPAA Workforce Training

Every team member with access to PHI or systems that process PHI completes role-specific HIPAA workforce training. Training is documented, tracked, and renewed annually in compliance with HIPAA workforce training requirements.

Acceptable Use & Data Handling Policies

All staff are bound by formal acceptable use policies governing how NutriCare Pro AI systems, data, and client information may be accessed and used. Violations are subject to disciplinary action up to and including termination.

Incident Response Procedures

NutriCare Pro AI maintains a formal incident response plan covering detection, containment, eradication, recovery, and notification procedures. All staff are trained on their role in the incident response process and how to report suspected security events.

Vendor & Third-Party Security Management

All third-party vendors and service providers with access to NutriCare Pro AI systems or client data are subject to security review, contractual data protection requirements, and ongoing monitoring. BAAs are executed with all applicable business associates.

Background Screening

All NutriCare Pro AI employees and contractors with access to client data or production systems undergo background screening as a condition of employment. Access is provisioned on a least-privilege basis and reviewed regularly.
